Privacy Notice

Last updated 8 October 2026

This explains what personal information Route 18 collects when you use this website, why, who it's shared with, and your rights. I only collect what I need to run the tracker and deliver what you've bought. I don't sell your data, and I don't use advertising or tracking cookies.

1. Who is responsible for your data

Ruby Moore, trading as Route 18, is the “controller” of your personal data. Contact: hello@route18coaching.co.uk. Address: 225 Old Clough Lane, Worsley, Manchester M28 7JB, United Kingdom. ICO registration number: ZC263930.

2. What I collect and why

Your account

Your name, email address, mobile number and password (stored only in scrambled, “hashed” form, so I can't see it). Why: to create and run your account, and to contact you about it. Lawful basis: contract.

WhatsApp messages

If you tick the box when you sign up (or in Settings), I'll message you on WhatsApp with deadline reminders, tips and news about Route 18's coaching. Lawful basis: consent. You can stop at any time by unticking the box in Settings or replying “stop”. I won't add you to WhatsApp groups unless you're a coaching client.

Your tracker

The employers you follow, the opportunities you save, your notes and application stages, any companies or roles you add yourself, and your email preferences. Why: to provide the tracker. Lawful basis: contract. Your notes and companies are private to you. I only look at them if you ask me to, or to fix a technical problem.

Payments and orders

When you buy Pro, coaching or the Playbook, Stripe handles the payment. I receive the payer's name and email, the country, what was bought and when, the amount, the student's name (for coaching), Stripe reference numbers, whether a subscription is active, and a record of the terms you agreed to. I never see or store full card details. Why: to deliver your purchase, manage subscriptions and keep business records. Lawful basis: contract and legal obligation (tax records).

Coaching clients

If you book coaching, I'll also collect information through the Coaching Agreement and Parental Consent Form, such as contact details, the student's goals and session notes. This is covered by those documents and handled in line with UK GDPR. As set out in my safeguarding policy, if I believe a young person may be at risk of harm, I may share information with the appropriate authorities.

AI coach and practice (Pro)

If you use the CV coach or practice, the text you paste or type (for example your CV, a cover letter or your interview answers) and the scheme you pick are sent to Anthropic, the company that makes the Claude AI, so it can write your feedback or questions. Route 18 doesn't save what you paste or the feedback: I only keep a count of how much you've used the coach, so I can apply the monthly limit. Anthropic doesn't use it to train its AI and deletes it after a short period. Please leave out your address, phone number and email, as the coach doesn't need them. Using the coach is optional. Lawful basis: contract (providing the Pro service you asked for).

In video interview practice, your camera recording stays on your own device so you can watch it back; it's never uploaded. Your spoken answer is turned into text by your web browser's built-in speech recognition (in Google Chrome, that's Google's speech service, under Google's own terms), and only that text is sent for feedback. You can type your answer instead.

Technical information

My hosting provider automatically records basic technical data (such as IP address, browser type and pages requested) to keep the site secure and working. Lawful basis: legitimate interests.

3. Cookies

The site uses one essential cookie, which keeps you logged in. It's strictly necessary, so it doesn't need your consent. There are no advertising, analytics or tracking cookies. Stripe sets its own cookies on its checkout pages to process payments and prevent fraud.

To see how many people visit and which pages are popular, I use Vercel Web Analytics. It doesn't use cookies or identify you: it counts visits in aggregate, such as page views, the country you're visiting from, and your type of device and browser. Lawful basis: legitimate interests.

4. Emails

You'll get emails needed to run the service, such as payment receipts from Stripe and, if you're on Pro and turn them on, tracker alerts, which you can switch off in Settings. I won't send you marketing emails without your consent.

5. Who your data is shared with

I use these trusted providers (“processors”) to run the site. They only use your data on my instructions:

  • Vercel: website hosting.
  • Neon: database hosting, in London.
  • Stripe: payments and receipts.
  • Anthropic: the AI behind the Pro AI coach, only for text you choose to send it.
  • WhatsApp (Meta): messages, if you've agreed to them or you're a coaching client.
  • Google: employer logos are loaded from Google's website-icon service, so Google receives your IP address when your browser loads those images.

I'll also share information if the law requires it, or to protect someone's safety. I never sell your data.

6. International transfers

Some providers, such as Vercel, Stripe, Anthropic and Google, may process data outside the UK, including in the USA. Where they do, it's protected by UK-approved safeguards, such as the UK–US Data Bridge or the UK's International Data Transfer Agreement.

7. How long I keep it

  • Account and tracker data: while your account is open. If you ask me to delete your account, I'll delete it within 30 days.
  • Accounts not used for 2 years may be deleted after a reminder email.
  • Payment and order records: 6 years, as required for tax.
  • Hosting logs: a short period, usually days to weeks.

8. Young people

Route 18 is for students aged 16 to 18 and their parents. Accounts are for people aged 16 and over. Where a student is under 18, a parent or guardian should make any purchase. The site isn't designed for children under 13, and I don't knowingly collect their data.

9. Your rights

You have the right to:

  • ask for a copy of your data;
  • have it corrected or deleted;
  • restrict or object to how it's used;
  • have it transferred;
  • withdraw any consent you've given.

Email hello@route18coaching.co.uk and I'll respond within one month. If you're unhappy with how I've handled your data, please tell me first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

10. Keeping it secure

The site is served over an encrypted connection (HTTPS). Passwords are hashed, access to the database is restricted, and payments are handled by Stripe.

11. Changes

I'll update this notice if anything changes. The date at the top shows when it was last updated.
